Leveraging Zapier to automate processes in a financial planning small business

My processes are inefficient, and I know I can leverage "not too complicated" technology to help in everyday life, but I need some help!
I'm looking to have students understand my current software applications and technologies, then look at ways to automate processes to increase efficiencies.
I want to use Zapier to integrate different applications I currently use, to enhance processes such as:
- Prospect communication and sales flow management
- Client onboarding (data gathering, document uploads, payment and service agreements)
- Client review automation
I'd be looking at Zapier to integrate applications/programs that I currently use that have open APIs, like Trello, Google Docs/Sheets/Drive, Acuity Scheduling, Squarespace...
Some of my requirements are:
- Privacy and online information security
- Compliance with Canadian financial regulations
- Easy to maintain after project is complete
- Easy for the prospect/client to use
Student will learn about the personal financial planning process, as well as different areas of running a small business, as we will need to work together to understand the areas that need added efficiencies. I will be be available for co-working, but student will have the opportunity to work independently to develop process or research solution.
